Overview

Everybody can tell when copy was not written by your team. It is not usually a factual problem — it is three em dashes in a paragraph, a sudden burst of “leverage” and “empower”, a headline with title case where your style guide says sentence case. Small things, and all of them say outsourced.

Style and tone prompts fix that at the source. Set custom instructions once so every headline, description, button label and blog post sounds like you wrote it. Your voice becomes the default rather than something an editor has to restore afterwards.

A tone prompt is more than “be friendly”. It is where you record the specifics: British spelling, no exclamation marks, never say “solutions”, always write prices as £99 rather than 99 GBP, keep sentences short, call them customers and not users. The more precise your rules, the less editing you do.

What to put in a tone prompt

  • Voice — warm, direct, expert, irreverent; and importantly, what you are not.
  • Mechanics — spelling variant, capitalisation, punctuation habits, number and date formats.
  • Vocabulary — the words you always use, and the jargon you have banned.
  • Naming — how products, plans and your own company are written, including the capitalisation.
  • Compliance — claims you cannot make, disclaimers you must include, regulated phrasing.

The prompt itself is editable at any time and corrections stick. Tell the agent you always use “webp” or never hyphenate a particular term and it remembers for future conversations, so the guide improves through use rather than through meetings.

Frequently asked questions

Can we just upload our existing style guide?

Yes — paste it in or attach the document and the agent will work from it, asking about anything ambiguous. Most teams find a long prose guide works better once it has been distilled into concrete rules, and the agent can do that distillation for you.

Can different brands or clients have different tones?

Yes. Each workspace carries its own tone prompt, so an agency running ten client sites keeps ten distinct voices with no risk of one bleeding into another. Individual preferences can also be set per person without changing the shared rules.

What if the agent ignores a rule?

Correct it in the conversation and the correction is saved, so the same mistake does not come back next week. If a rule is being missed repeatedly it usually means the prompt is ambiguous — ask the agent to tighten the wording and it will propose a clearer version.

Does it apply to short copy as well as articles?

It applies everywhere text is produced — headlines, button labels, form hints, meta descriptions, alt text and error messages included. Short copy is where inconsistent voice is most visible, so it benefits most.

Will it rewrite our existing pages without asking?

Never. Setting a tone prompt changes future drafts only. Bringing older pages into line is a separate request you make deliberately, and the results arrive as drafts you approve page by page.
